Hilux Club VHF Radio LIcence - How to Apply!
This information is readily available in the "Club" section but I get many enquiries about how one should licence VHF radios. So here goes:
The Hilux Club has been granted three national ("Roving") VHF Frequencies by ICASA. These three frequencies are the same as those in use by ORRA, thus if you are a paid-up member of the Hilux Club, you will now no longer be required to licence your radios through ORRA.
All Hilux Club members are eligible for a Club User Authority to use the Club VHF radio channels at no additional cost but there are a few steps required to obtain this user authority:
1. You first have to register as a Club Member. If you are not yet a Club Member, please register here:
http://www.hiluxclub.co.za
This application normally becomes effective within 48 hours of your signing and paying the annual Club fees as directed. Once your payment reflects in the Club’s Bank account, your membership is activated and your username appears in BLUE. The contents of the Club Forum are now available to you.
2. You now need to register your VHF radios on the Club Database as indicated here:

The 'HC' Licence numbers are automatically generated to you as you register your radios into the Club database. You require this number for your licence, as without this HC number, the database cannot generate a VHF radio licence in your name, so please do this step first before submitting the form for your licence. The HCxxx number now becomes your call-sign.
Please take note that only Commercial VHF radios as approved by ICASA are eligible for this, no Amateur (“Ham”) Radios are approved by ICASA for Commercial use. If in doubt, ask me.
NB:
Please note you must first log into the Hilux Club section here:

Once you have logged in, you will need to click on the "Radio Licencing" tab .

You will now get a screen similar to this:
Please complete the form after entering your ID number, updating, and then typing the radio information in the prescribed fields, before finally updating. At this point you will be allocated a Club Call Sign, HCxxx. This means that your radios are now registered on to the Club Database and you can now complete the VHF application Form (refer red font on the http://www.hiluxclub.co.za" onclick="window.open(this.href);return false; page).
NB: Please be aware that the Hilux Club and the Hilux4x4 Forum are two separate entities: You will need to register on both in order to register your radios on the Club Database, which is hosted by the Forum.
When you register your radios, you will automatically receive a “HC***” Call Sign, this is unique to you. This call sign will now replace your previous ORRA call sign. Please remember to update your profile with this in the forum.
3. After registering your radios, you now need to download and complete the PDF application form which will grant you the right to use the Club frequencies. This is available once you click the RED link on the Club Membership page, http://www.hiluxclub.co.za. All fields please, including your HC call sign number that you received in step 2 above. There is no need to first print out the form, simply type the data directly into the fields, then save the completed form before emailing it to me at info@repcom.co.za or radios@hiluxclub.co.za. Please ask me for the Verification letter to be emailed to you if you wish to have your radios programmed or updated.
IMPORTANT:
** Please ensure that you have filled in the field requiring your HC number - no user Authority can be granted unless this is done and your radios are registered on the database. NOTE: The "Forum Name" field refers to your Username on the forum, not the 'Hilux Club'.

Eric, how do I go about having these frequency's programmed onto my radio? I have a Kenwood TK-2306 VHF with 14 channels.

The TK2306 can accept a total of 16 channels - are the other frequencies club (ORRA) frequencies or private frequencies?

at this stage the first three channels is used with licensed frequencies but I am in the process of upgrading all my radios to digital instead of the old analog system, thus all channels can be reprogrammed

Ah, OK, that makes sense! Andy has requested that you send the PoP for the club to him, then he will activate the club membership and you then need to follow the process above. Cassie, thanks, as you have guessed it is so much easier to have one easy reference here on the forum rather than replying to 2 or 3 PMs or letters privately! ;)
I'm still discovering new 'short cuts' as we go along however, to make it even more painless. I like replying to queries quickly but there are times when the work load at the Office interferes heavily with my pastime!
Busy we indeed are - we are currently installing various Digital Radio Systems in the Northern Cape and the guys are very happy with them - they even caught a Rhino poacher* who could no longer monitor the radio channels as in the past!
* I do not sell radios to Rhino poachers - ever! I believe he received an "education" though.

Deon, you can use the last two channels of your radio, but you will be limited for use as you only have two channels available. The radio can be programmed for the new ORRA/Hilux Club frequencies channels 1 & 2 and will still work with more recent radios.

I did all of the above and received my HC number from you. Is it required to have proof of license with you when operating the radios? If so, what do I use as proof of a valid license. One hears all sorts of stories of people being pulled over by the "radio police" and then getting into trouble...

Cassie has been most helpful in the way that he has automated software to do this, you should have by now received it.
I still have to log into each user's database so it takes a while. I do so whenever I have a spare mo' or upon request, so if anybody needs one urgently, I will tend to this ASAP.

Eric, I was told that you do have radios to sell, could you please mail me a quote on these and everything included in price quoted. I think it is going to be easier to just purchase than looking for somebody to program.

Get the radio and then register it here with the club (following the steps in the first post of this thread). You could be lucky and same day get your letter of authority to utilise the Club frequencies (same as Orra). Then all you have to do is have the radio frequencies programmed into your radio with that letter, and you're set to go.

We're based in Klerksdorp, but courier (not post!) radios all over the country - requirements are the user must be licenced as per the first post in this thread. Neil can definitely assist you with installation.
The Community Forum will also use the same channels as we do, as well as the LCCSA, Jeep, Isuzu Offroad, Land Rover clubs etc, which are all the same as the original ORRA ones, so you are able to communicate with any of these chaps. In addition, both the LCCSA & Hilux Clubs have their own "private" channels.

A BIG thank you to Family Dog, for all the help and advise he gave me, regarding the purchasing of a radio and getting a licence.

Hi Arne. I also had a problem locating your profile but found it through a surname search. Your club profile username did not match your forum username (you had ommitted the period and space between "A" and "Lombard") I have now changed that username to match the forum one ( A. Lombard ). I have also reset your password just in case you registered with a different password and have now forgotten it - Your new password is *********** and you can change it once you have logged in. I have sent you a PM with your new password etc.
Remember that usernames and passwords are case sensitive, so enter them exactly.

Hi Louis, no I didn't, but that would normally go through to "Uncle Family Dog", our club radio officer.
