I received this from the AAWDC We need six vehicles per team, who is in?

Our yearly interclub fun day known as the above will take place on 09-10-2010 (Saturday 9 October 2010) at the Ou Trekpad near Atlantis. This year it is being organized by the SA 4x4 Community Forum in conjunction with the AAWDC Cape Committee and all its member clubs.

This fun day has been implemented to foster better inter club relations between the member clubs in the Cape Region. An appeal is made to the committees of the member clubs to encourage their members to take part in this fun day. The sole function of this day is to have fun and enjoy ourselves.

Like last year this event will take place regardless of the weather although, we have moved the date into October in an attempt to have better weather conditions.

Briefly the details:

1.The event will take place on Saturday 9 October 2010 at the Ou Trekpad 4x4 Trail.
2.The event is open to all member clubs of the AAWDC Cape, but will be limited to the first 8 member teams that respond with full payment.
3.There must be six vehicles, with a driver and co-driver, in each member team.
4.The entrance fee will be R180 per vehicle (driver and co-driver) which includes coffee and breakfast rolls.
5.The total entrance fee of R 1 080 (6 x R180) has to be paid up front into the bank account of the AAWDC Cape by each member team. The bank account details are shown at the bottom of this letter.
6.There will be a cut-off date for the payments which will be announced in the next letter.
7.All indemnity forms to be completed, signed and faxed through with the entry forms beforehand.
8.Each participating member team will be responsible for setting up its own gate which it must marshal as well.
9.The gates will be set up during the weekend prior to the event (2&3 October).
10.There will be a small entrance fee for spectators.
11.Spectators will have to sign indemnity forms.
12.The emphasis is on having fun and not damaging vehicles.
13.There will only be one class of vehicle, regardless of modifications.
14.Only roadworthy, licensed vehicles that arrive on their own “steam” will be allowed. No towed vehicles.
15.Each member team must have a full recovery kit, recovery points and all the necessary safety equipment, fire extinguisher, spare wheel, etc.
16.Safety belts will have to be worn at all times.
17.Family participation is encouraged and extra points will be awarded for this.
18.The area will be open from the Friday for those who want to camp over.
19.There will be a licensed bar which will open once the last gate has been completed.
20.Catering at very reasonable prices will be provided as well as toilets.
21.No drinking and driving will be allowed and the area where the gates are to be run will be an alcohol free zone for competitors and spectators alike.

If more than 8 applications are received the Planning Committee will investigate the feasibility of accommodating two additional member teams of six vehicles each. However the Planning Committee’s final decision in this regard will not be negotiable.

Please nominate a coordinator for your club’s member team and direct him to forward your intention to participate in the fun day by e-mail to AB van Tonder at security1@telkomsa.net. This coordinator should, wherever possible, also be the only person from your member club to communicate with the Planning Committee.

We can get a team together easy! Pieter ek dink jy moet sommer hierdie ouens en nog ander wat dalk nie te gereeld op die forum is nie email, en hulle inlig van hierdie event. Dis mos nie 'n vehicle breaker trail die nie... behalwe as jy 'n Land Rover ry a'la Vleispyp.

i am very keen on this, but i can only say (and pay) for definite after this weekend.

i am going to have to call in the reserves to make her Birthday weekend that extra special so that when i ask her the "YES" will roll off her tongue as smoothly as a sharp knife glides through biltong!

Just one other thing. If there is someone with a SFA or more modified van than mine. I will gladly give up my place.
I know this is for fun,but it would be good if we can kick some ......
I dont mind being marshall/supporter etc.

Remember guys, we also have to setup our own obstacle and we have to marshal it. Perhaps the Gauteng guys can help me here but I am sure the drivers cannot marshal the obstacle because they will be busy driving, so as I understand it we will also need marshals.

We will also have to select a group leader and the group leader must attend the meeting in September. I will sommer state now that I will not be the group leader, in my opinion Louis Rolbos or Thys are the best men for the job.

I read a bit about this event on the Community Forum and it seems they want to encourage family driver/co-driver teams in the vehicles. Preferably man/wife (boyfriend/girlfriend or whatever you want to call it) teams. This is done to make sure the wives/girlfriends also paticipate, and there is nothing wrong with it. According to the thread they will be deducting points for non-compliance.

I am more than willing to step aside and let Mrs Coenie take over the co-driver duties in Coenie's Hilux. That way I can spend more time being a Marshal or helper at our gate.

What does AAWDC feel about this.I dont mind stepping a side also but is this one club trying to change the event?

Guys, the teams here by us had a couple of ladies and they added the fun (and hilarious ) flavor to it (drive over feet, etc etc,

), but it is not a pre-requisite to have them. You can have friends as co-pilots.

As far as I understand it the 4x4 Community Forum is the host of the event, and they make the rules.... They are also making sure that their own teams comply to the rules as well. I also agree that it would be more fun to have the ladies involved.

The Beee is here... Bolt's pending axle replacement is hampering my participation... I will definitely make an effort to be there, we need an unbiased opinion, video and pictures... not so...

Bolt's axle redo may take a while, I going to do the job properly myself...

The letter inviting your team representative has been sent to Pieter, it is important to have someone at the meeting.

Jaco/Ciske have sent through payment as well, as far as I know Hilux have already paid so we need to sort that out.

Keep on practising and by all means read the postings on the 4x4 Forum, I try to be impartial but then again I do drive a Hilux.

Why dont we ask Ciske or Jaco from GOMAD to be the team Captains on this one? Please guys, help us out here??

It would be better if one of your Marshals could be the Team Rep.

We are trying to discourage drivers/co-drivers from doing it as we need non-drivers to set up the gate on the weekend before.

Guys I also have some bad news.I will have to withdraw.
My mom is quite sick and we founded a place in a retirement village and we will have to do the whole moving thing that weekend.

I also think Bretton would be a good one as coordinator since the coordinator may not be in the driver team.

I received these details from Ashley, please take note that there will be a meeting on 8 Sept where our coordinator must be present.

Good Day

This is a letter to the Clubs that have indicated their commitment to participate in our upcoming AAWDC CAPE INTERCLUB TROPHY 2010 FUN DAY.

Firstly, thank you very much for taking part and we are convinced that with you being part of the day it will be a resounding success.

Attached in the e-mail please find the Agenda for the meeting on 08-09-2010 at the Northerns Rugby Club in Parow, as well as directions to the venue.
There is a cash bar, food will also be on sale at reasonable prices, and you are welcome to bring your family and friends with.

However the discussion will be limited to the Club representatives only (see below), please note we do not want any drivers or co-drivers at the discussion if possible as we will be discussing the format.

As already indicated to all the clubs we require each club/team to provide the following:

1. A Club Representative who will be our link to your team
2. Four Marshalls on the day to man your obstacle
3. On the Saturday 02-10-2010 we need your club to set up their gate so that it can be tested by the Clerk of the Course. No Drivers allowed please for obvious reasons.
4. Please note that we are being sponsored by certain companies and that they have first priority in setting out their advertising boards.
5. Any advertising at your gate needs to be cleared by the Planning Committee before hand.
6. You will need to provide your Marshals with Clipboards and pens
7. We will try to provide high visibility vests to all marshals but will appreciate it if you have your own.
8. If there are participating clubs that have extra flags and poles that we can lend for the event it would be appreciated.
9. We would encourage each team to try and make their gate attractive and have similar uniforms/clothing for the Marshals. There will be various awards for the teams to win.
10. The whole drive behind this day is to have positive interaction amongst all Clubs and their members and while we realize that we are all competitive let’s try not to get too serious about winning.

There will be various awards that are team driven so the bigger your supporter base and the more support you have will count in your favour.

Safety on the day will be of paramount importance to us and it would be appreciated if you could convey this message across to your teams and their supporters, it is for this reason that no drinking of alcohol beverages in the participation area will be allowed by participants and spectators alike.

I was going to suggest we ask Ciske and Jaco to get an alternative co-pilot, and let one of them run with the show. Alternatively Coenie was also willing to take over, but that would mean his vehicle was out of the competition completely, and we would have to get another entry. Coenie is looking for a co-pilot as it is, as I can't be there. Allan is also willing to help, but then again he is also a driver.

I think we need to sit with this thing today to get everything together. All hands on deck please....

My feeling is that we rather have to get the obstacle managed right and proper than worry about the team competing as the obstacle will give us the best exposure as a club and we cannot in any circumstances let this opportunity slip. So if all else fails I'm prepared to do it, with the help of Allan and his guys and whoever pops out of the woodwork by then.
